Senior Administrative Assistant

We are seeking a Senior Administrative Assistant to provide high-level administrative support to our CEO, Engineering Management, and Manufacturing Leadership. This position requires a proactive and detail-oriented professional capable of managing a variety of administrative tasks in a fast-paced manufacturing environment. The ideal candidate will be discreet, highly organized, and able to multitask effectively, with excellent communication and follow-up skills.

Key Responsibilities

  • Provide direct administrative support to the CEO, senior engineers, and production management, including calendar management, meeting coordination, and follow-up on action items.
  • Draft, edit, and format internal and external communications, reports, and presentations.
  • Schedule and coordinate meetings for executive leadership and engineering teams.
  • Maintain and organize confidential files, records, and documentation across multiple departments.
  • Assist with preparation of project tracking tools, KPIs, meeting agendas, and internal reports.
  • Coordinate cross-functional communication and follow-up between departments to support ongoing engineering and production projects.
  • Support daily administrative functions such as data entry, expense reporting, procurement requests, and supply inventory.
  • Assist with internal process development and documentation related to operations, quality, and compliance.
  • Manage sensitive and confidential information with discretion and professionalism.

Qualifications

  • 5+ years of administrative experience, with at least 2 years supporting senior leadership or executives.
  • Prior experience in a manufacturing, engineering, or technical environment is highly preferred.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills with the ability to handle multiple priorities.
  • Proven ability to work independently, take initiative, and maintain confidentiality.
  • High attention to detail and ability to meet deadlines in a dynamic environment.
  • Associate or Bachelor’s degree in Business Administration or a related field is preferred.

Job Type & Pay

  • Pay Range: $32.00 – $41.00 per hour (commensurate with experience)

Hours & Schedule

  • Schedule: Monday – Friday (8-hour shift)
  • Expected Hours: 40 hours per week
